Smarter Balanced, SAGE, PARCC, ELPAC, WIDA, and other State data are now available to you, and we have a versatile set of subject and claim/cluster reports to show you.  In addition, we'll report your INTERIM ASSESSMENTS -- whatever you're using (iReady, Renaissance STAR, NWEA-MAP, DIBELS, etc.)  We'll provide you with a variety of term-to-term and year-over-year reports to clearly quantify and articulate your growth, at the pupil, aggregate, and subgroup levels.  To see examples, click on [Reports Gallery] from the navigation menu above.

State Tests

Acquiring Your ELPAC Data (2018 and 2019)

Step 1:

Go to www.elpac.org





Step 2:

Click on the blue [TOMS] button (Test Operations Management System).
Login, using your private LEA Coordinator credentials (the data are available only to the LEA coordinator).


Step 3:

Click on ‘Reports’ in the top (blue) menu bar.



Step 4:

Click on ‘LEA Reports’ in the lower (grey) menu bar.
Select from the Available Reports: Summative Student Score Data Extract Report’.


Step 5:

Begin typing your District/School name to locate it in the ‘Organization’ box.
IMPORTANT
: In the ‘Report Type’ drop-down, select ‘By Tested LEA’. Do NOT select ‘By Enrolled LEA’.
For each of 2017-18 and 2018-19: (We’d like both NEW files, even if you’ve previously sent us the 2017-18 data.)
In the ‘Administration Year’ drop-down, select the year, then press the [Request New Report] button.

Step 6:

Click on ‘Requested Reports’ in the lower (grey) menu bar.
Within seconds (or minutes), the information for both requested reports should be visible.
When the ‘Status’ reads ‘Available’, the [Download] button will turn a darker shade of blue. You may have to refresh your browser screen.
For each of your 2017-18 and 2018-19 files:
Click the [Download] button next to the file description. This will download the file to your computer in the manner typical for your browser.

Step 7:

Do not open, unzip, rename, or change the format of your files. Simply leave the ZIP file as-is.

Go to the folder on your system where downloaded files are saved.
Login to our secure ShareFile portal (link is under the ‘Links’ top navigation Item on our home page).
For each of your downloaded 2017-18 and 2018-19 ZIP files:
1) IMPORTANT: Navigate in ShareFile to the /Assessment Results >> State >> ELPAC >> [year] subfolder.
2) Either drag your ZIP file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your ZIP file.

Step 1:

Log in to the USBE Data Gateway.



Step 2:

Once logged in, click on the “My Tools drop-down on the “Data Gateway” page.



Step 3:

Navigate to the “Entry Profile” tab and click the “Student Entry Scores” button on the left-hand side of the screen.


Step 4:

Click “Download and select the “Individual Student Scores option in the drop-down box.
This will download the files to your computer in the manner typical to your browser.

Step 5:

Do not open, extract, or rename the file. Simply leave it as is, and save it to your computer.

Then, upload that file to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results/State/KEEP/year subfolder.

  • Either drag your file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your file.

The data are only available only to the single person designated as the LEA coordinator. No other account can download these data.


Step 4:

Select 'Reports' from the navigation bar.


Step 5:

Find the subsection for 'LEA Reports'. (you may need to ignore this step for 2019)

Step 6:

Scroll down until you get to the section: 'Student Results Report—Student Score Data Extract'
If you don’t see this option, it suggests you are not logged in under the one-and-only LEA Coordinator account.


Step 7:

Select your Organization (district/school)

Step 8:

Then select the School Year

Step 9:

Press the [Download Report] button.

Step 10:

This will download a ZIP file to your computer, in the manner typical for your browser. Simply add your district name in the file name before saving, but Do not open or extract the ZIP.  Keep it as-is.


Step 11:

Then, upload that file to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results/State/SBAC/year subfolder.

  • Either drag your ZIP file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your ZIP file.

Step 12:

Repeat steps 7 - 11 for 2018.

Step 6:

Make sure to make all of these selections in the ‘Retrieve Student Results’ window. Once your selections are made, click ‘Export to Inbox’ in the lower left-hand corner of the window. (Click on the picture to the left to enlarge it.)

Take special note of the file type, making sure to change the selection to ‘CSV Comma Separated Values’. Do NOT send Excel.

Step 7:
To view your exported files, click on the ‘Inboxtab on the top border of the ‘Retrieve Student Results’ window.

Step 8:

Click on the file name of your desired files to download a ZIP file to your computer in the manner typical for your browser.



Step 9:

Simply add your district name in the file name before saving, but Do not open or extract the ZIP.  Keep it as-is.


Step 10:

Then, upload that file to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results >> State >> SBAC >> 2017 subfolder.

  • Either drag your ZIP file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your ZIP file.

Step 12:

Repeat steps 5 - 10 for 2016 and 2015.

Physical Fitness Test (PFT)

We can accept PFT results from 2014 through 2019.

We need the “Scored File” in TXT format.

Once downloaded from the publisher, upload files to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results >> State >> PFT >> [year] subfolder.

  • Either drag your ZIP file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your ZIP file.

Click on the ‘Completion Status Reports’ button on the left-hand side of the screen


Step 5:

In this window, click the ‘Completion Status Reports’ drop down, and selectTest Completion Rates

Step 6:

Select the report type to be: ‘District Test Completion Rates,’ Choose your district in the drop-down box, pick your desired test instrument (Smarter summative, ELPAC, etc.), choose the school year, and and select all of the grades/test subjects you wish to include in the file. Once you have made all of your selections, ClickExport Report

Good Work!

The file will be downloaded to your computer in the manner typical to your browser. Save the report, and use it as you wish. You do not need to upload this file to us.

Interim and Periodic

NWEA-MAP

For NWEA, you must export from the publisher’s system.
You can download only one term at a time (e.g. Fall, Winter, Spring, Summer).

Export the COMBINED file format only. This requires you to make an explicit change to the default selection.
Do NOT export the Comprehensive file format; we cannot use that.

The files will come in CSV format. Do not open or alter. You may change the filename, to clearly identify the contents (e.g. district, year, and term).

Once downloaded from the publisher, upload files to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results >> Interim >> NWEA-MAP >> [year] subfolder.

  • Either drag your ZIP file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your ZIP file.

Step 1:

Step 3:

Then click on the ‘Interim Assessment Reporting System button.




Step 4:

Login using your private LEA Coordinator credentials (the data are only available to the coordinator).


Step 5:

In this window, click on the blue ‘District / School Exports’ button in the ‘Administrator Tools’ box

Step 6:

Create a filename that includes your school year (e.g. 1819 for 2018-19), abbreviated district name, and the word “Interim”. Then select your school year and Organization in the drop-down boxes provided.


Step 7:

After filling out this form, Click the blue ‘Export Results’ button in the bottom right-hand corner.



Step 8:

To view your recently exported data files, click on the ‘My Reports’ tab on the ‘Reporting System’ bar



Step 9:

Once the data files are completed, click on the file name and select ‘Download Report Data in order to download the files in the manner typical for your browser.


Step 10:

Please add a prefix to the file that indicates the Test year and an abbreviation of your district name.
Do not open or modify CSV file. Simply leave it as is,
and save it to your computer.

Then, upload that file to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results >> Interim >> SBAC IAB’s >> 2019 subfolder.

  • Either drag your ZIP file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your ZIP file.

Step 1:

Login to iReady as an administrator. To create the export file: Select Reports > District/School > All Exports > Diagnostic & Instruction Export



Step 2:

It is very important that you make all the proper selections on this screen.  If not, we’ll need to reject your file(s) and ask you to re-acquire.

·         Select All Schools.

·         Select one subject at a time (Reading/Math).

·         Select one Test Window at a time (e.g. Initial/Post, Fall/Winter/Spring).

·         Do NOT include Class/Teacher/Group Associations.

·         Do NOT include any Instruction Data.

Then press [Create Report].
The report will be sent to the Export Queue.

Step 3:

To retrieve the export files(s):
Select: Reports > District/School > All Exports > Export Queue.

Step 4:

When the files show “Completed”, press the down-arrow icon to download each file, one-at-at-time.



Step 5:

Create a filename that includes the LEA name, the test, the year, the test window, and the subject.

Step 6:

Then, upload that file to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results >> Interim >> iReady >> [year] subfolder.

  • Either drag your ZIP file there, or hover your mouse over the green + circle, select Upload, then drag or browse to your ZIP file.

Step 1:

Login to your district’s iteration of the Renaissance Place with your LEA credentials


Step 2:

Click on the blue ‘Users’ button on the lower-left-hand portion of the screen.




Step 3:

Then click on ‘Export Information’ link on the left sidebar.



Step 4:

Click “Export” to the right of your district’s name towards the top of the screen (If your district has only one school, you may only have the option to export for your single school)

Step 5:

In this window, Select the Flat File Student Assessment Exports for Early Literacy, Math and Reading, and click “Next”



Step 6:

Enter the start and end date for a single test window and click next (Beginning, Fall, Winter, Spring - Not the whole year).


Step 7:

Click “Download” for the three files that are generated (There should be one file for Early Literacy, one for Reading and a third for Math).



Step 8:

Please add a prefix to the file that indicates the Test Window for the file (e.g. “T0”, “T1”, “T2”, “T3”)
Do not open or adjust the .csv file. Simply leave it as is,
and save it to your computer.

REPEAT Steps 6-8 for each separate Test Window you wish to export.
Do NOT export all Test Windows into a whole-year single file.

Then, upload all files to our secure ShareFile portal (link is under the ‘Links’ Navigation Item on our home page).

  • Once logged in, navigate to the /Assessment Results >> Interim >> Renaissance STAR >> [year] subfolder.

  • Either drag your CSV files there, or hover your mouse over the green + circle, select Upload, then drag or browse to your CSV files.
